Sushila Devi Public School, Patiala (“the school”, “we”) runs this website and its Parent Portal and Staff Portal. This policy explains what information we collect, why, and how we protect it.
Information we collect
- Student and parent details given at admission or updated by the school office: student name, class, roll number, date of birth, photo, blood group, address, parents’ names, mobile numbers and email.
- School records: fees and payments, attendance, exam marks and transport details.
- Sign-in information: when a parent signs in with a mobile OTP, we use the mobile number; when a parent signs in with Google or Facebook, we receive only their name and email address to match them with their child’s record. We never receive or store Google or Facebook passwords.
- Messages sent through the contact form (name, phone, email and message).
How we use it
- To run the school: admissions, attendance, exams, report cards, ID cards and transport.
- To let parents see their own child’s fees, attendance and marks in the Parent Portal.
- To send fee receipts, gentle fee reminders, attendance updates and school notices by email or SMS.
- To answer enquiries sent through the website.
We do not sell or rent personal information, and we do not use it for advertising.
Online payments
Fee payments and auto-debit mandates are processed by Razorpay. Card, UPI and bank details are entered on Razorpay’s secure page and are never stored by the school. We keep only the payment reference, amount and date.
Who can see the information
Parents can see only their own children’s records. School staff can see the records they need for their work: class teachers see their own class’s attendance, and changes to student names and marks need the Principal’s approval. Information is shared with service providers only to deliver the services above (website hosting by Hostinger, payments by Razorpay, SMS and email delivery), or when required by law or by the education board.
How we protect it
The website uses a secure (HTTPS) connection, protected logins with limited sign-in attempts, and daily backups. Access to school records is limited to authorised staff.
Keeping and correcting information
We keep student records for as long as needed for school and legal purposes. Parents may ask the school office to see or correct their child’s information, or to remove a Google or Facebook sign-in link from their account.
